Privacy Policy

KICHI LLC (KICHI合同会社, “we” or “us”) handles personal information collected through our website (kichi-jp.com, the “Site”) and in connection with the lodging and rental homes we operate in accordance with Japan’s Act on the Protection of Personal Information (the “APPI”) and other applicable laws, as set out below.

1. Information We Collect

Through the booking/inquiry request form on the Site (the “Form”), we collect:

• Name, email address and phone number (optional)
• Nationality, purpose of stay, preferred dates, and number of adults and children
• Preferred messaging app and your ID on it
• How you found KICHI, your free-text note, and the Site language you used

When arranging a stay or lease, we also collect the information required by law for identity checks and the guest register (see Section 3).

2. Purposes of Use

We use personal information only for the following purposes:

1. Replying to booking/inquiry requests (including availability and price information)
2. Arranging stays and concluding and performing lease contracts
3. Identity checks and preparing and keeping guest registers as required by law
4. Contacting you during your stay or tenancy
5. Improving our services

3. Guest Register

Kichi Inn Horikiri is a registered home under Japan’s Private Lodging Business Act (Notification No. M130064416). Under that Act, we record each guest’s name, address and occupation, and, for foreign guests, nationality and passport number. Guest registers are kept for three years as required by law.

4. Provision to Third Parties

We do not provide personal information to third parties without your consent, except:

• where required by law; or
• where otherwise permitted under the APPI.

5. Service Providers and Overseas Processing

To the extent necessary for the purposes above, we entrust the handling of personal information to the following providers:

• Google LLC (Google Workspace: Google Sheets and Gmail) — storing Form submissions and communicating with you
• Cloudflare, Inc. (hosting of the Site)

These providers’ servers may be located outside Japan. We supervise these providers as necessary and appropriate to ensure your information is handled securely.

6. Security

We take necessary and appropriate measures, such as access control, to prevent the leakage, loss or damage of personal information.

7. Retention

• Requests that do not lead to a booking or contract are deleted within 12 months of receipt.
• Guest registers are kept for three years under the Private Lodging Business Act.
• Other information is kept for as long as needed for the purposes above or as required by law.

8. Cookies and External Services

• We use Google Analytics 4 (Google LLC) to understand how the Site is used and improve it. With Google Consent Mode, analytics cookies are stored only if you choose “Accept” in the banner at the bottom of the page. If you decline, no analytics cookies are stored and only cookieless, anonymous measurement pings are sent.
• Analytics records pages viewed, the site language and actions such as using the availability calendar or sending the booking form. We never send your name, email address or phone number to Google. You can change your choice at any time via “Cookie settings” in the footer. We do not use advertising cookies.
• Property pages embed Google Maps, so your device connects to Google’s servers when a map is shown.
• The Site may save your language preference in your browser’s local storage (localStorage). This is not sent to us.
• The Site loads Google Fonts, so your device connects to Google’s servers when you view the Site.
• The availability calendar is read from Airbnb’s calendar export; no guest personal information is shown.

9. Your Rights

You may request disclosure, correction, addition or deletion, or suspension of use of the personal information we hold about you. Please contact us at the email address in Section 11. After verifying your identity, we will respond without delay in accordance with the law.

10. Changes to This Policy

We may revise this Policy in response to changes in law or in our services. If we add online payment to the Site, we will update this Policy accordingly. Revisions take effect when posted on the Site.
